Textbook Guidelines

Original Textbook Checkout-

Have students fill in Textbook Checkout Card legibly and accurately with:

  • Full Student name
  • Grade
  • Student ID# – there is not a place for it; put it above grade. (Essential, as many students have same name and grade)
  • Teacher name
  • Book name
  • Book number (essential to differentiate books)
  • Copyright date
  • Teacher name and period
  • Existing damage noted
  • Student signature and date
  • Keep cards in a safe place to verify textbook returns.
  • Please match book to number on card when books are returned.
  • Textbook checkout cards can be obtained from the library.

Have students:

  • Print their name in the front of their textbook
  • Print the school year
  • Print your name and room number (in place of issued and returned)

Have students check for Damage:

  • Some teachers use this system with very positive effects. Here is what they do:
  • Create a Textbook checkout notebook with one page for each numbered textbook.
  • When you hand out textbooks, have students check the book page-by-page and log any damage in your notebook – one page for each book number
  • At the end of the year have students check each other’s books page by page to access new damage.
  • Charge damage per page and note in your notebook.

Clout:

  • Base citizenship partly on expediency of book returns
  • Books not returned on time – U in citizenship
  • Have an occasional book number check throughout the year.
  • You are in charge of getting your textbooks back.
  • We only take charges after all your efforts have been expended.

Drops:

  • When a Student Drops- The teacher must sign the drop form.
  • Write only YES, NO, or N/A under the column labeled “Books Returned”, otherwise we must return the drop form to you for clarification.
  • Attach both original textbook checkout card and a charge slip if the book is not returned.
  • The charge slip must include the:
    • Teacher’s name
    • Student’s name and ID#
    • Book title and number
    • Cost of book.

If a textbook charge has already been sent to the library, it is not necessary to send an additional charge.

We check for current charges already on file.

The library staff will not sign off for “Textbook Clearance” until all teachers have signed the drop form and all textbooks are either returned or accounted for.

If a teacher is absent, the drop form will not be completed until the teacher returns.

If a student switches to another teacher in your department, collect their book and destroy the checkout card.

Very Important – When Students Transfer:

  • When a student transfers out of your class YOU MUST COLLECT THE BOOK.
  • Clear the book in your records ASAP
  • The new teacher will issue another book.
  • If book is not returned to you:
    • Do not pass the book card to the new teacher.
    • Fill out a book charge and send it immediately to Cindy in the library.
    • Send home a Teleparent call about the book charge

Guidelines For Collecting Textbooks

  • As the school year closes, textbooks must be collected.
  • Please make sure that you have designated a day for collecting all textbooks, informing your classes well in advance.
  • If you can, please start the process as soon as you can.
  • Inform your students that if books aren’t returned and/or fines aren’t cleared, they will face the following consequences:
    • Yearbooks will be withheld until payment is received.
    • Graduation certificates will also be withheld for 8th graders.
    • All students will have registration delayed for next year.

For those new to the process and those who could use a refresher, here’s the drill:

  • Have Textbook Check-Out cards organized by Period.
  • Match the number on the card to the number in the inside cover or on the bottom of the book.
  • Check for loss or damage and use the fine schedule on the back of the Textbook Check-Out card to charge the student.
  • Fill out the Library/Textbook Charge Slip form completely.
  • Write the student’s ID # on the top.
  • Send only the charge slips for “lost” or severely damaged books to the library.
  • Be sure to give the student the PINK copy of the form.
  • Then attach the Check-Out card to the Charge Slip with a paper clip and forward it to the library.
  • If the charge is minor, please fill out the charge slips, collect the money & turn it in to Dora.

Inform your students to pay in cash or money order. We do NOT accept checks.
